CES Support Center Coordinator

Job Summary (Purpose):  

Provides administrative and office support for the CES Support Centers, which staff 400+ employees at peak capacity.  Oversees facility maintenance and office supply requirements to insure the business unit is fully supported.

Duties and Responsibilities:


  • Assists in administrative functions related to the hiring and recruitment process, such as posting job openings on various websites, maintaining interview paperwork, coordination of background and drug screening processes, managing new hire paperwork, procurement of training supplies, attending job fairs and tracking employee status from hiring to training to post training. 
  • Manages the attendance hotline and sends a daily/weekly report. 
  • Maintains and monitors employee and office supplies to maximize operational effectiveness, expense control and employee productivity. 
  • Budget support – prints monthly operating statements, reviews the detailed expenses for accuracy and reports any discrepancies to the Director.
  • Acts as the safety officer – insures safety standards are communicated and the environment does not pose a safety hazard.  Reports any discrepancies to the Director.  Disseminates monthly safety awareness notifications to employees. 
  • Interfaces with building maintenance vendors and building owner to insure everything is operational from proper lighting, ventilation, heating and air conditioning, plumbing, to janitorial services.  
  • Follows established procedures/processes and policies for office activities, such as filing, records maintenance and mail distribution.
  • Maintains building security, card access and key logs for building, offices, and office furniture.
  • Drafts communications for distribution to multiple levels of the organization, such as coordinating employee communications including monthly FAQs.
  • Provides administrative support to the Support Center leadership team. 
  • Assists Support Center leadership team with set up for meetings and events. 
  • Administration of purchase requisitions, invoice processing and contract management.
  • Facilitate the Support Center Activities Committee. 
  • May be required to work on assignments or projects as necessary.

Knowledge, Skills and Abilities:


  • Excellent organization skills and detail orientation to insure accuracy of work.
  • Strong writing ability; able to effectively communicate changes to multiple levels within an organization.
  • Solid judgment and decision making - Makes decisions based on good judgment, problem solving, problem analysis and assessment. Ability to investigate and reconcile discrepancies in department expenses.
  • Strong work ethic and time management.
  • Supply management and inventory control.
  • High degree of flexibility and adaptability to change with the environment and business demands.

Education and Experience Required:


  • Associates degree required.
  • Minimum of 3 years of experience in a similar administrative role.
  • Computer skills and advanced knowledge of Microsoft Office applications.
