Job Summary:

 

Responsible for providing effective and efficient office service support for the personnel of UGI Corporation and AmeriGas Headquarters located in King of Prussia. Accountable for overall facilities management of the Valley Forge UGI Building. Provide support for UGI Corporation Travel program. Design approach to employee engagement for Valley Forge UGI Building employees and plan/execute employee engagement events.  

 

Job Responsibilities:

 

Office Services Support

 

 

Provide consistent and responsive office service support for the personnel of UGI Corporation and AmeriGas Headquarters:

 

  • Direct the activities of the Office Services staff in providing mail services, messenger services, office supplies/ equipment. Ensure office safety and appearance supports a safe and productive work environment.
  • Responsible for hiring, training and performance management and terminations as necessary for office services team. Ensure adequate cross-training of office services staff to balance workload and provide for uninterrupted delivery of services.
  • Select and manage vendors, negotiate contracts and cost, manage the utilization of office furniture, supplies, equipment, and wireless services for UGI Corporation. Manage company cars, and other Office Services related items.
  • Responsible for office space planning, layouts, renovations, furniture and equipment.  Assess and evaluate physical space requirements in the office environment and recommend plans to meet business needs.
  • Professionally interface with all employees to keep abreast of and respond to their needs, problems, and non-routine activities as they relate to the functions of the Office Services Department. Ensure a positive customer service experience is being delivered.
  • Manage onsite printing services 
  • Periodically prepare facilities for events including employee luncheons, training, and business meetings. Coordinate related Office Services functions to support these events.
  • Responsible for drafting routine and ad hoc professional communications to the building tenants to keep them up to date on building maintenance and other concerns related to the facility or office services.  

 

Facilities Management

 

Create and maintain a customer focused atmosphere. Responsible for overall facilities management of the UGI Building:

 

  • Direct the external landlord in the maintenance and repair of the building, grounds, equipment, and all related electrical and mechanical systems. Develop preventive maintenance schedules to ensure the continued efficient operation of all building systems.   
  • Direct and control capital improvement projects and oversee work of outside contractors.  Ensure building is secure and is in compliance with all public licensing, fire code, safety standards etc.  
  • Create, review, and monitor the fiscal year budget for both Office Services and UGI Properties.  
  • Negotiate leases with tenants and administer to the terms of those leases, collect revenues.
  • Manage and promote good tenant relations to all UGI Building tenants by responding to their needs, problems, and requests regarding facilities-related matters.  
  • Conduct cost-control reviews for building and property related projects and ensures communication with senior management.
  • Create and maintain documentation for buildings systems and procedures as needed.
  • Continuously update building policies, procedures and systems to deliver efficiency, employee safety, security and clarity to employees.
  • Select and manage vendors, negotiate contracts and costs for all building services including cleaning/janitorial services, cafeteria etc.  

 

Corporate Travel Provide support for UGI Corporation Travel program:       

 

  • Direct, effectively implement and manage the negotiations and competitive bid process for the company travel agency every three years.
  • Communicate with UGI management and the Travel Agency to provide recommendations for improvement of travel policy and procedures.  
  • Liaison with all contracted travel related vendors through corporate travel agency to negotiate supplier contracts.
  • Resolve travel related issues in cooperation with the Travel Agency representative.
  • Monitor and advise on cost associated with corporate travel 

 

Employee Engagement

 

 

Design approach to employee engagement for Valley Forge UGI Building employees and plan/execute employee engagement events.

 

  • Plan and execute company-wide events for the corporate location that are aimed to boost morale and foster a positive work environment. Work with other locations to align and coordinate events as needed.
  • Attend, provide support, and coordinate during the activities or events to ensure a successful result.
  • Evaluates the success of each activity, event, or outing and identifies opportunities for improvement in the future.
  • Develops and maintains relationships with vendors used in events, activities, and outings
  • Participate on projects as assigned related to engagement including United Way for Valley Forge
  • Managing the engagement calendar of events
  • Lead United Way initiatives for the headquarters location in partnership with communications and talent management
  • Partner with communications to deliver building and employee engagement messages 

 

Knowledge, Skills and Abilities:

 

  • Excellent verbal and written communication skills
  • Understanding of event planning practices and techniques
  • Ability to manage outside vendors for effectiveness, efficiency and experience
  • Extensive knowledge of MS suite
  • Ability to problem solve and work on multiple priority projects at one time
  • Demonstrated ability to learn new topics and skills effectively

 

Education and Experience:

 

  • High School Diploma, Bachelor’s degree from an accredited institution strongly preferred  
  • 8+ years experience in HR, Building Management/Services, Communications
