The Human Resources Coordinator provides administrative support in functional areas of Human Resources including, but not limited to, employee relations, employee lifecycle activities (onboarding, cross-boarding, offboarding, retirement), management of personnel records, compensation, workers compensation, benefits administration, etc. Assist in the administration and translation of company policies and procedures.  
 

Job Responsibilities:  
Employee Lifecycle:
•    Process new hires, rehires, transfers, promotions, compensation and job changes
•    Meet with new hire to review People Connect and ensure they have access to BenefitFocus, ADP, LMS, etc.  
•    Manage new employee onboarding and new hire orientation (scope of “manage” s/b defined; does this include establishing the matriculation of new employees w/new manager & their proposed plan for on-boarding?)
•    Process employee promotions, job changes and terminations in the HRIS
•    Prepare separation letters, provide to employee and ensure other actions in the checklist are completed, including termination of access to IT/Systems and building  
•    Provide payroll with all relevant new hire information for processing
•    Support with gathering information for new hire files and termination, audit electronic records to ensure completeness
•    Track all compensation changes and prorations for year end merit cycle; and, provide final audit to ensure accuracy prior to submission

General Human Resources Support:
•    Investigate problems/issues for employees or that occur in the SuccessFactors system
•    Provide assistance and/or information to employees and retirees related to various HR related issues:
o    Compensation
o    Benefits 
o    Company policies and practices
•    Coordinate employee-facing events such as:
o    Flu and other vaccinations
o    Wellness events (biometrics)
o    Company picnic
o    Other events 
•    Run payroll reports and OSHA reports, store them for audit
•    Assist with testing in WFS (myTime) and People Connect T1
•    Review accuracy in the People Connect transactional ‘how to’ guides, update where applicable 
•    Process tuition reimbursement, merchandise loan requests
•    Contact tracing for COVID-19 

Benefits-Related Services:
•    Assist employees with benefit questions
•    Enter Worker’s Comp. cases through our third-party administrator’s (TPA) system Liberty Mutual
•    Complete Domestic Relations requests for benefit information as needed
•    Coordinate employee-facing benefits events such as:
o    Flu and other vaccinations
o    Wellness events (biometrics)
o    Open enrollment live sessions  

Time-keeping Administration:
•    Track and manage FMLA leaves, including correspondence and leave case entry in the HRIS
•    Responsible for time entries of approved employees through the time-keeping system
•    Administer adjustments/amendments as required
•    Notify benefits for unpaid leaves (including Workers’ Compensation) where our COBRA provider must link with employees to continue their benefits

 

Job Requirements:

  • High School Diploma; Bachelor’s Preferred
  • Minimum of five years of Human Resources experience in an administrative or supporting role, or a combination of education related to Human Resources and experience
  • General knowledge and understanding of employment policies, practices and procedures 
  • Ability to show empathy and concern for employees
  • Experience with employment offers, background checks, substance abuse checks, fit for duty, etc. 
  • Thorough knowledge of applicable employment laws and regulations particularly the Fair Labor Standards Act and FMLA
  • Extensive knowledge of advanced MS Word and Excel skills, experience with an HRIS, preferably SAP SuccessFactors HRIS
  • Effective interpersonal and verbal and written communication skills
  • Familiarity with benefits offerings, leaves of absence, etc.
  • Customer service type of mentality, seeking solutions to resolve situations within legal boundaries and within Company policies
