Talent Acquisition Coordinator

Position Summary:
This position provides support to the Talent Acquisition team and Company during recruitment, onboarding, and ongoing employee engagement.  The position also supports regulatory compliance and reporting. 

 

Principle Accountabilities:
Talent Acquisition:

  • Provides administrative support of Talent Acquisition including support of field locations; enters position requests, creates position posting by copy/paste of position description into Job Profile Builder, and routes position request in PeopleConnect for approval and posting
  • Works with Communications to promote and create awareness of open positions; manages posting jobs to job boards and social networking sites
  • Performs entry-level phone interviews and assists with reference checks
  • Schedules and manages interview process for internal candidates at Headquarters location in Denver, PA
  • Creates and distributes internal UGI Utilities job openings list
  • Assists with professional and academic job fair scheduling and attendance/representation
  • Performs quarterly internal HR recruiting and onboarding audits to ensure established process are being followed
  • Cross-trains and backs-up HR Coordinator(s) with post-hire and pre-employment steps, as well as employee record maintenance in the HRIS (hires, employee changes, terminations, etc.)

 

Onboarding and Orientation:                                                                                                                

  • Provides Human Resources (bi-weekly) new hire onboarding support and facilitation, including facilities planning, new hire list preparation and coordination, internal attendee tracking/confirmation, communications and hotel reservations; assists with facilitation including acting as primary back-up for general HR presentation on company policies and procedures; new hire paperwork completion including I9, E-Verify, and electronic onboarding; manages presentation content and classroom delivery

 

Reporting:

  • Runs and distributes weekly and monthly reporting and other reports as needed by HR Management and other departments
  • Creates and manage employee surveys, including collecting and summarizing data
  • Processes department-specific purchase orders, invoices, vendor management of DataBank record retention & scanning process; assists with data collection for audit readiness and special projects as assigned

 

Compliance:

  • Co-manages updates to Affirmative Action (AA) plans; manages internal and external data requests; reviews and validates Affirmative Action related reports and narratives; ensures data is being accurately collected and audit system capabilities and usage to established AA plans
  • Reviews and updates UGI Diversity & Inclusion report
  • Manages all compliance requests (external and internal, including internal audit) and ensures they are fulfilled accurately on, or before, deadline, including annual VETS-4212 and EEO1
  • Coordinates and supports other required compliance training and employee acknowledgements

 

Company-wide Employee Programs:

  • Administers various employee programs including, but not limited to: employee service and recognition awards, tuition reimbursement, employee engagement activities (Take Your Child to Work Day, etc.); this includes budgeting, program recommendations, and coordination
  • Assists with special projects as requested

4. Ability to work both independently and in a collaborative environment, and with highly confidential and sensitive information

Qualifications:
Education: HS Diploma required
Length of Experience: 3 years of administrative support experience
Other: Prior Human Resources experience preferred, including regulatory compliance reporting (Affirmative Action, EEO1, VETS4212)
